Data Ownership & Processing

This statement summarizes how Roboworkx Inc., a Delaware corporation, d/b/a Snowbotix (“Snowbotix”) handles data generated by customer deployments. It applies to snowbotix.com. Contractual data terms are governed by the Master Services Agreement and its Data Privacy & Processing Agreement. The same statement is published on our parent-company website, roboworkx.com.
1. Data ownership
Our customers own their service records (proof-of-service logs, event and completion records, and reports) and the site information they give us. Snowbotix owns the data our robots generate about themselves and how they perceive and navigate a site (machine diagnostics, raw sensor data, and the navigation maps we build), along with our autonomy technology and models. We treat site-derived data as the customer’s confidential information: we blur people and license plates at capture, never sell or share it, never use it to identify a customer or site to anyone else, and use it only to operate and improve our services. Contract terms are set in the Master Services Agreement and its Data Privacy & Processing Agreement.

How we protect site-derived data that Snowbotix owns:
- Treated as the customer’s confidential information and site security information.
- Never sold, licensed, or disclosed to third parties, other than sub-processors that help us deliver the services.
- Never used to identify a customer or site to anyone else, or to build standalone third-party data products.
- Never disclosed to a customer’s competitors.
- Faces and license plates blurred at capture; no facial recognition; no biometric identifiers; unredacted frames kept for no more than thirty (30) days, or longer only under an incident legal hold.
- Used to train our models across customers only after redaction or de-identification; unredacted frames are never used for cross-customer training.
- Kept in the hosting region set in the DPA: a United States region, or AWS Canada (Central) for Canadian deployments; defense data in AWS GovCloud (US) only.
Customers receive a license, for the term, to view and use Mission Maps and machine status through the Snowbotix Fleet Management App. Aggregated or de-identified data is used only to improve our services and is never resold as a standalone data product.
2. Personal and controlled data
For personal data processed in connection with the services, the customer is generally the controller (business) and Snowbotix the processor (service provider), acting on documented instructions. Snowbotix does not sell or share personal data, and uses personal data for model training only after it has been redacted or de-identified. Defense, CUI, and ITAR-controlled data are handled under the DPA and the applicable defense terms and kept in the required environment (for example, AWS GovCloud (US)); such data is Government-owned where the contract so provides and is excluded from product-improvement and training use. Airport sensitive security information (49 CFR Part 1520) and the public-records obligations of public-entity customers are handled under the applicable contract terms for those customers.
3. Processing purposes and sub-processors
Snowbotix processes deployment data to provide, operate, monitor, secure, and improve the services and, where permitted, to produce aggregated or de-identified analytics that do not identify the customer or any individual. Snowbotix engages sub-processors under written terms consistent with the DPA and publishes its current list in the Sub-Processor List at snowbotix.com/legal/subprocessors.
4. Return and deletion
On request or termination, Snowbotix exports Customer Data in a standard machine-readable format within thirty (30) days and then deletes or de-identifies it, except that a certified copy of Service Records is retained solely on a liability-defense basis, and only for the limitations period applicable under the law of the site’s state to personal-injury and property-damage claims arising from the services (longer only while a legal hold applies), then deleted. Incident evidence is kept on the same basis. The customer also receives a static zone-map export (PDF/KMZ). Executable Mission Maps and Raw Sensor Data are Snowbotix data and are not exported.
